Automation / Chat

HR.

HR is one bot for the whole employee lifecycle. It onboards new hires — paperwork, laptop, badge, system access, payroll sync — then stays their single source of truth for PTO balances, time-off requests with coverage checks and approval routing, and benefits questions answered from your real handbook, not vibes.

Workflow concept and scripted demonstration. The descriptions below preserve the original workflow scope; channels, integrations, response times, and actions must be agreed and tested for your setup. Sample dialogue is not a customer result.

From signed offer to day one — and every HR question after.

  1. Kick off onboarding

The moment an offer is signed, the bot reaches out — introduces itself, sets expectations, and opens the new hire's checklist.

  2. Collect paperwork

W-4, I-9 documents, direct deposit, handbook acknowledgment — requested, received, validated for completeness, and chased politely when missing.

  3. Coordinate equipment & access

Laptop ordered, badge requested, email and system accounts queued for day one — each with an owner and a status the bot tracks.

  4. Sync payroll & benefits

The payroll provider gets the validated tax and banking details; benefits enrollment windows get scheduled, not forgotten.

  5. Handle PTO end to end

Balances answered from the live ledger, requests taken conversationally, team coverage checked, and approvals routed to the right manager — in the same thread the employee asked in.

  6. Answer benefits questions

Enrollment windows, qualifying life events, what the plan covers — grounded in your actual policy documents, with escalation to HR for the gray areas.

See the workflow unfold.

Dana starts Monday. It's Wednesday. Watch the bot close out her remaining onboarding items — then answer her PTO and benefits questions on the spot.

  1. HR Assistant

Hi Dana! 👋 You start Monday — exciting. Quick status: your W-4 and direct deposit are done ✓. I still need your I-9 identity documents and your handbook acknowledgment. Want to knock those out now? Takes about 4 minutes.

  2. Dana (new hire)

Sure — what do you need for the I-9?

  3. HR Assistant

Easiest path: a photo of your U.S. passport (that covers both identity and work authorization), or a driver's license plus a Social Security card or birth certificate. Upload right here in this chat — it's encrypted end to end.

  4. Dana (new hire)

    📎 passport.jpg — here you go

  5. HR Assistant

Got it — passport accepted ✓ (List A document, verified legible, expiry 2031). That fully satisfies your I-9. Now the handbook: here's the link — read sections 1–3, then type "I acknowledge" and you're done.

  6. Dana (new hire)

    I acknowledge

  7. HR Assistant

Paperwork: 100% complete 🎉 Status on everything else: your MacBook shipped (arrives Friday, IT will image it same day), badge is printed and waiting at reception, and your email + CRM accounts go live Sunday night. Payroll provider already has your validated details.

  8. Dana (new hire)

Awesome. Two quick questions — how does PTO work here, and can I add my husband to the dental plan?

  9. HR Assistant

Easy ones 🙂 PTO: you accrue 1.25 days/month from day one — about 15 days/year — and you can request time off right here in this chat anytime; I check team coverage and route it to Tom for one-tap approval. Dental: yes — your first 30 days count as your enrollment window, so adding your husband now is no problem. I've sent the dependent-enrollment form to your inbox; takes ~3 minutes.

  10. Dana (new hire)

Perfect. Where do I go Monday morning?

  11. HR Assistant

Main office, 8:45 AM — ask for Priya at reception, she has your badge. Your first-week schedule is on your calendar already: orientation Monday AM, team lunch Monday noon, systems training Tuesday. Your manager Tom gets a green-light summary tonight. See you Monday, Dana! 🚀

Why this workflow matters.

Day one actually works

Laptop on the desk, badge at the front, email live at 9:00 AM. The things that make a new hire feel expected — handled without a single reminder Post-it.

HR stops being a help desk

Balance checks and policy questions are 70% of HR interruptions. The bot absorbs them — your HR person does actual HR.

Compliance without the chase

I-9 deadlines, W-4 completeness, and PTO approvals are tracked automatically, with a clean audit trail. The bot does the polite nagging so HR doesn't have to.

One record, every system

Validated details flow to payroll and benefits providers once — no triple data entry, no transposed bank digits, no coverage surprises.
